Part-Time Program Assistant

The Center for Interdisciplinary Exploration and Research in Astrophysics (CIERA; ciera.northwestern.edu) leads in astrophysics theory, observation, and data science research, while also prioritizing training and empowering the next generation of scientists, growing our programs in K-12 STEM education, and cultivating the public’s enthusiasm for astronomy with our outreach initiatives.

This position provides support for the CIERA’s various ongoing research, education, and public outreach programs and activities. Responsibilities include organizing and maintaining office space and supplies; assisting with small and large events of all types; general clerical support (e.g. documentation and data management).
Position Information
- Part-time (up to 20 hours/week on average), preferably through at least 12/15/2024
- Schedule is adjustable can take into account other time constraints of the employee
- In-person at 1800 Sherman Ave, Evanston (occasional remote days can be considered when assignments allow)
- Occasional evening/weekend for special event support may be needed
- Requires some physical activity, such as transporting boxes of event supplies and setup of catering and event tables.
- This position is not benefits eligible
- $18-$20/hour depending on experience

Responsibilities
May include but are not limited to:
Event and Program Support
- Setting up, cleaning up, and monitoring space during events
- Designing event signage, placing, determining necessary signage locations
- Creating event participant name badges
- Preparing event handouts and other materials
- Staffing a sign-in booth
- Organizing and maintaining event support items and storage
- Liaising with on-site A/V technicians and other vendors and partners
- Answering event participant queries / assisting as necessary
- Taking event photos
- Additional tasks may be assigned as necessary.
General Office and Clerical Support
- Tidying of office spaces and kitchenettes
- Sorting mail
- Organizing bulletin boards, storage, and other areas
- Supporting other office-space or clerical projects, such as creating documents and managing spreadsheets of data
- Additional tasks may be assigned as necessary.
Qualifications and Skills
- A high school diploma or equivalent required.
- 1 years of administrative support or other relevant experience.
- Intermediate knowledge of word processing, spreadsheet, email, and other standard office software programs is required.
- Excellent attention to detail.
- Strong communication skills; ability to write and speak clearly, and keep others informed.
- Collaboration and teamwork skills.
- Ability to be proactive and work largely independently once given guidance and instructions.
- Excellent interpersonal skills and customer service attitude: being helpful, positive, respectful, approachable, and team oriented.
